Terms & Conditions

Welcome to HJ Education. These Terms of Service govern your use of our services, including any classes, services, and resources provided by us. By accessing or using our services, you agree to these Terms.

Please take a moment to review the terms and conditions below. They outline important details regarding assessments, enrolment, fees, scheduling, and service policies to ensure a smooth and transparent experience for both parents and students.

1. Services and Fees

We offer educational assistance such as tutoring, career counselling, exam registrations, and many other services related to education. There are no registration or deposit fees; only payment for service will be charged. Each student is entitled to one free trial lesson only. This trial lesson allows prospective students to experience our services before committing to a full course. We practice a payment-first system. Invoices for the upcoming month’s classes are issued at the beginning of each month. Payment must be made within two weeks of the invoice date to avoid a late fee. A late fee of RM 100 will be applied if payment is not received within two weeks of the invoice date without any reasoning. This fee will be added to the following month’s invoice.

2. Invoice Issuance

Before we issue the invoice for classes, parents or guardians are encouraged to inform us of any planned absences or days when the student will be away. This notification must be provided before the 25th of the current month. If notification of planned absences is received before the 25th, we will adjust the invoice to exclude the days the student will be away. Requests for changes to the invoice received after the 25th will not be entertained. Late notices will result in adjustments being made in the next billing cycle.

3. Student Attendance and Cancellations

If a class is cancelled by the teacher, it will be covered by a substitute teacher (if applicable), rescheduled within the same month or deducted from the following month’s invoice. Cancellations for individual classes made on the day before the office hour (1 pm on weekdays, 10am on weekends) are eligible for a deduction or rescheduling. The missed class can be either deducted from the next billing cycle or rescheduled to the next agreed slot for replacement. Cancellations made on the day of the scheduled class after office hours are only accepted with government-approved documentation, such as a medical certificate (MC). Without such documentation, the missed class cannot be deducted or replaced.

4. Group Class

Absences from group classes are non-refundable and cannot be rescheduled. We guarantee a minimum of 4 classes per month for all group classes. Failures to meet the numbers due to reasons (teacher absences, public holidays) will be deducted from the next billing cycle. For group classes, any extra class that falls in the 5th week of the month will be provided at no additional charge (until Dec 2024) except for A-Level group classes. An additional charge (in ratio) applies for the 5th week of A-Level group classes. If only one student attends a group class for the entire month, the student will be charged the rate for a 1-on-1 class in the following month.

5. Books and Materials

We require that all books used in our classes be original copies. Photocopied or pirated versions are not accepted. This policy ensures accuracy and supports copyright compliance. Books required for the classes can be either purchased from us, or from authorized sellers. We do not facilitate the provision of photocopied materials. HJ Education respects the intellectual property and cultural contributions of all authors and acknowledges the diverse background and ethnicities of their works. We are committed to honouring the rights of authors and the cultural significance of their contributions using original, legally purchased material. If additional books or past papers are purchased from us, an extra charge will be applied. Additional charges may apply to special classes such as experimental classes, workshops, or any other non-standard sessions. These charges will be communicated in advance to ensure transparency.

6. Behavioural Expectations

Students are expected to adhere to class etiquette and respect the instructor and other participants. Disruptive behaviour may result in suspension or termination of classes.

7. Payment Methods

Payments can be made via bank transfer, DUITNOW QR, credit card or cash. If payment is made by credit card, any additional charges incurred due to the use of a credit card will be borne by the client.

8. Refunds and Adjustments

Refunds and adjustments will be processed according to the policies stated above. Refunds for classes or fees not covered by these terms are at the discretion of the company.

9. Changes to Terms

We reserve the right to update or modify these Terms at any time. Any changes will be communicated to you, and continued use of our services constitutes acceptance of the revised terms.
